We are seeking a Project Coordinator to support a high-impact Rural Health Transformation initiative focused on strengthening rural health systems and prehospital emergency medical services. This position will work closely with Delineate project leaders, clients, subject matter experts, researchers, analysts, and technical team members.
The Opportunity
The ideal candidate is exceptionally organized, proactive, detail-oriented, and comfortable keeping complex projects moving. You will help coordinate meetings and project activities, maintain project documentation, track commitments and deliverables, support stakeholder engagement, and ensure that important details do not fall through the cracks.
The right candidate enjoys bringing structure to fast-moving work. You can leave a project meeting knowing exactly what was decided, what needs to happen next, who owns each action, and when it is due, and then help ensure those commitments are completed.
What You'll Do
- Coordinate project activities: Support the day-to-day coordination of multiple project workstreams, activities, milestones, and deliverables.
- Manage schedules and logistics: Coordinate meetings, stakeholder interviews, working sessions, site visits, and other project activities.
- Track actions and deliverables: Maintain project plans, action-item trackers, deliverable schedules, decision logs, and other project management tools.
- Document meetings and decisions: Capture clear meeting notes, decisions, action items, owners, and deadlines.
- Drive follow-up: Proactively follow up with team members and stakeholders to keep commitments and deliverables moving forward.
- Maintain project records: Organize project documentation, meeting materials, deliverables, reference materials, and version-controlled files.
- Support project communications: Draft and coordinate emails, meeting materials, status updates, agendas, summaries, and other project communications.
- Support stakeholder engagement: Help coordinate communications and activities involving clients, government partners, healthcare organizations, EMS agencies, and subject matter experts.
- Support deliverable development: Assist project leaders and analysts with organizing, formatting, reviewing, and finalizing presentations, reports, assessments, and other client-facing materials.
- Identify risks early: Recognize scheduling conflicts, overdue actions, missing information, dependencies, or other issues that may affect project progress and elevate them appropriately.
- Support the broader team: Take ownership of emerging coordination and operational needs as project priorities evolve.
Required Qualifications
- Bachelor's degree or equivalent combination of education and relevant professional experience.
- Approximately 1-4 years of experience in project coordination, project support, consulting, program administration, operations, or a related role.
- Demonstrated ability to organize multiple activities, deadlines, stakeholders, and priorities simultaneously.
- Experience coordinating meetings, documenting discussions, tracking action items, and following through on commitments.
- Strong written communication skills with the ability to produce clear, concise, professional materials.
- Exceptional organizational skills and attention to detail.
- Ability to work independently, anticipate needs, and follow through without requiring constant direction.
- Comfort working in a fast-moving environment where priorities and project needs may evolve.
- Strong interpersonal skills and the ability to work effectively with clients, colleagues, and subject matter experts.
Preferred Qualifications
- Experience working in consulting, professional services, government, or another client-facing environment.
- Experience supporting government, healthcare, public health, health and human services, or emergency medical services projects.
- Experience coordinating stakeholder interviews, workshops, assessments, evaluations, or similar structured project activities.
- Experience with project management platforms such as Asana or similar tools.
- Strong proficiency with Microsoft Office, particularly PowerPoint, Word, Excel, Outlook, and Teams.
- Familiarity with Agile or other structured project management approaches.
- Experience supporting projects involving multiple organizations, stakeholders, or concurrent workstreams.

Compensation and Benefits
Delineate offers a competitive salary commensurate with experience and qualifications, along with standard company benefits. This is a full-time position. Candidates located in or near Indianapolis are preferred to support periodic in-person meetings and project activities.
